Hello there, to initiate a back up from the device just go to Settings> Accounts and Backup> Backup and Restore> Backup. From there your information will be backed up to your Samsung/Google account.

The only way for a new account to be added on the device would be for someone to have the device in their hand and add it from the settings. There is no way to remotely log in to an account.

So the multiple entries could be when you had the Outlook sync it also added in any email address you had saved to your contacts. Are you using the native email application or an Outlook application on the device?
